Purchase of EzyAsset Management Module to manage play area, open spaces and burial assets

Decision Maker: Corporate Director & Monitoring Officer

Decision status: Recommendations Approved

Is Key decision?: No

Is subject to call in?: No

Decision:

To place an order to the value of £11,398  with RA Information Systems through the G-Cloud 14 Procurement Framework for the supply & installation of the EzyAsset Management Module to allow the Council to effectively manage play area, open spaces and burial ground assets.  Additionally, the system will be used for memorial safety inspections and the management of the Engineering Team’s street assets.

Reasons for the decision:

The Fenland Inspire! play area project requires the assessment of all play areas and open spaces assets to allow informed delivery of improvements.

FDC does not have an asset management system to allow this work to progress smoothly.

The system previously used for the memorial inspections has not been repurchased following the demise of the original supplier.

The engineering team keeps records of assets on a spreadsheet which is not efficient.

A review of the engineering teams asset management indicated the need to a system to be put in place.

Local Govt. Reorganisation means that the Council’s assets should be catalogued and available when joined up work commences.

FDC already uses EzyTreev for management of tree assets.  This Asset module is effectively a bolt-on to an existing system and procured thought a Govt. Procurement Framework.

Alternative options considered:

Continue with no system;  This is inefficient and will not achieve the needs of the Council.
